Job Description

Maintenance & Repair, Vendor Management, Space & Asset Planning, Security & Safety

I. Facilities and Property Management

  • Maintenance & Repair: Plan and oversee the implementation of routine and preventative maintenance schedules for all office buildings, equipment, and grounds.

  • Vendor Management: Select, manage, and evaluate service contracts for cleaning, security, utilities, waste disposal, and repair services.

  • Space & Asset Planning: Oversee workspace allocation, office moves, renovations, and reconfigurations to optimize space utilization.

  • Security & Safety: Ensure compliance with fire safety, health, and security regulations. Manage security systems, fire extinguishers, and emergency evacuation procedures.

II. Procurement and Inventory Control

  • Purchasing: Manage the procurement process for general supplies, office equipment, furniture, and service contracts, ensuring value for money.

  • Inventory & Asset Tracking: Maintain comprehensive records of all organizational assets (furniture, equipment, electronics). Conduct regular physical inventory checks and manage the asset disposal process.

  • Budget Management: Assist in the preparation, monitoring, and control of the annual General Services budget, tracking expenditures and providing justification for variances.

III. Logistics and Fleet Management (If applicable)

  • Movement & Transport: Coordinate internal  transport and logistics for staff, materials, 

  • Travel Coordination: Oversee the provision of travel and accommodation services for staff, ensuring adherence to travel policies.

Job Requirements

Education & Experience

  • Bachelor’s degree in Business Administration, Management, accounting   minimum of 3years of progressively responsible experience in General Services, Administration, purchasing  Facilities Management.

  • Experience in managing vendor contracts and supervising a small support team is highly desirable.

Skills & Competencies.

  • Software Proficiency: Competency in Microsoft Office Suite (Word, Excel) and experience cenet ERP software is preferred.

  • Communication: Excellent interpersonal skills for dealing with staff, management, and external service providers.
