Job Advert: Project Admin Secretary

The Project Admin Secretary will provide comprehensive administrative and secretarial support to the project team, ensuring the efficient and smooth operation of all project-related activities. This role involves managing project documentation, scheduling meetings, facilitating communication, and supporting the overall administrative needs of the project.
Administrative Support:
Manage and organize project documentation, including reports, presentations, contracts, and correspondence, both physical and digital.
Maintain project files, ensuring proper indexing, storage, and retrieval.
Schedule and coordinate project meetings, workshops, and events, including sending invitations, booking venues, and preparing agendas and minutes.
Prepare and format project-related documents, presentations, and reports as requested by the Project Coordinator/Manager.
Handle incoming and outgoing project communications, including emails, phone calls, and official letters.
Assist with travel arrangements and logistical support for project team members.
Manage office supplies for the project team and ensure availability.
Coordination & Communication:
Facilitate effective communication channels within the project team and with external stakeholders.
Assist in tracking project progress and following up on action items from meetings.
Liaise with various departments to gather necessary information and ensure smooth project flow.
Financial & Resource Support (as applicable):
Assist in tracking project expenses and maintaining basic financial records for the project.
Process invoices and expense claims related to project activities.
Support resource allocation and tracking for the project.
Minimum Requirements
Diploma or Bachelor's degree in Secretarial Science, Office Management, Business Administration, or a related field.
Minimum of 0 years experience.
Proven proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
Excellent organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
Strong written and verbal communication skills in Amharic and English.
Proactive, reliable, and able to maintain confidentiality.
Minimum Requirements
Diploma or Bachelor's degree in Secretarial Science, Office Management, Business Administration, or a related field.
Minimum of 0 years experience.
Proven proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
