Job Description
We are looking for an experienced Office Assistant to support day-to-day operations across multiple functions. This is not a traditional admin role — we’re looking for someone who is proactive, detail-oriented, and familiar with the import/export industry, who can assist not only with general office tasks but also with customs clearance, accounting support, compliance, banking, insurance, and basic ESL correspondence.
2+ years of experience in an office role, preferably in the import/export or logistics industry.
Solid understanding of import documentation, customs procedures, or international trade processes.
Proficiency in Microsoft Office (especially Excel)
Strong organizational, multitasking, and communication skills.
Proficient in English & Amharic.
Preferred Qualifications:
Experience dealing with customs, freight, or regulatory agencies.
Experience with insurance or banking admin related to trade.
Good written and spoken English for handling overseas communication.
Administrative Support
Handle day-to-day office duties including filing, data entry, email management, and phone reception.
Maintain digital and paper records of shipments, payments, and regulatory documents.
Order office supplies and assist with scheduling meetings or courier pickups.
Import / Customs Assistance
Support customs clearance by preparing and organizing shipping and import documents (invoices, packing lists, bills of lading, etc.).
Coordinate with freight forwarders and customs agents as needed to ensure smooth clearance.
Track and follow up on shipment statuses.
Accounting & Finance Support
Assist with invoicing, payment tracking, and reconciling basic accounts.
Organize documentation for VAT/duty payments and bank transactions.
Help prepare paperwork for auditors, banks, or insurers.
Compliance & Documentation
Ensure that import activities follow local and international compliance standards.
Keep records updated for insurance, licenses, and trade-related registrations.
Banking, Insurance & ESL Tasks
Communicate professionally with banks and insurance providers.
Draft and respond to English-language emails with overseas suppliers, customers, and service providers.
Assist in preparing basic ESL business communication (quotations, inquiries, etc.).
