Job Description

Our multi-sector business seeks a detail-oriented and efficient Secretary to provide comprehensive administrative and documentation support. The role combines traditional secretarial tasks (filing, correspondence, scheduling) with cross-functional coordination to ensure smooth operations across diverse business units. 

Duties & Responsibilities:

1. Core Secretarial Duties 

  • Manage the calendar, appointments, and travel arrangements . 

  • Type, format, and proofread business documents (reports, memos, presentations). 

  • Handle incoming/outgoing correspondence (emails, letters, calls). 

  • Maintain physical and digital filing systems (contracts, reports, meeting minutes). 

 2. Documentation & Compliance 

  • Prepare and organize sector-specific documents (e.g., regulatory filings, tender document, project reports). 

  • Ensure proper version control and confidentiality of sensitive files. 

  • Assist in drafting standard operating procedures (SOPs) and templates. 

3. Meeting & Coordination Support 

  • Record minutes and follow up on action items. 

  • Liaise with department heads, clients, and external partners. 

4. General Administrative Support 

  • Order office supplies, process expense reports, and manage petty cash (if applicable). 

  • Assist with event planning (corporate meetings, team gatherings). 

Job Requirements

Qualifications & Skills 

Education: Diploma/Degree in Office Administration, Secretarial Studies, or related field

Experience: 

  •  Minimum 4 years as  Secretary,. 

  •  Experience in multi-sectors work environments (e.g., trading, services, manufacturing) is a plus. 

Technical Skills

  •  MS Office  (Word, Excel, PowerPoint, Outlook) – Advanced proficiency. 

  •  Basic understanding of document management systems (SharePoint, Google Drive). 

Soft Skills

  •  Strong organizational and time-management abilities. 

  •  Professional communication (written and verbal). 

  •  Discretion in handling confidential information.
