In a property management company, the reception area serves as the first point of contact for clients and visitors, handling inquiries, directing calls, and managing administrative tasks. Receptionists are responsible for creating a positive first impression, providing excellent customer service, and maintaining a professional and organized environment. Their duties often include answering phones, scheduling appointments, handling correspondence, and assisting with various administrative tasks. 

Duties & Responsibilities:

  • First Point of Contact:
    A warm greeting and professional demeanor at the reception desk sets the tone for the entire company.

  • Answering Phones and Directing Calls:
    Efficiently managing a busy phone system is crucial for ensuring all inquiries are handled promptly and routed to the appropriate personnel. 

  • Scheduling Appointments:
    Maintaining an organized calendar for property viewings, meetings, and other appointments is essential for smooth operations. 

  • Handling Correspondence:
    Managing incoming and outgoing mail, faxes, and emails, ensuring timely distribution and organization. 

  • Administrative Support:
    Assisting with various administrative tasks, such as copying, scanning, filing, and preparing documents. 

  • Maintaining Office Cleanliness and Organization:
    Ensuring the reception area is presentable and welcoming. 

  • Customer Service:
    Providing excellent service to clients and visitors, addressing inquiries and offering assistance with a positive attitude. 

  • Security:
    Implementing security protocols, such as ID checks, to protect both physical and digital assets. 

  • Vendor Coordination:
    Scheduling and coordinating with vendors for maintenance and other services. 

  • Meeting Preparation:
    Assisting with organizing and preparing for meetings and events. 

  • Knowledge Resource:
    Serving as a knowledgeable resource for information about properties, services, and company procedures.

  • BA Degree in Admin, Secretarial, and Clerical  or other related fields

  • Minimum of 1 years experience
