Job Description

A Property Management Administrative Assistant provides crucial support to property managers by handling various administrative tasks, customer service, and assisting with the day-to-day operations of managing properties. They act as a point of contact for tenants and vendors, manage paperwork, and contribute to the efficient functioning of the property management team. 

Duties & Responsibilities:

  • Administrative Support:
    This includes tasks like answering phones, managing correspondence (emails, mail, faxes), scheduling appointments, maintaining files (both physical and digital), and preparing documents. 

  • Customer Service:
    Responding to tenant inquiries, addressing concerns, and providing information about the property. 

  • Property Management Assistance:
    Helping with tasks related to property maintenance, rent collection, lease administration, and preparing reports. 

  • Communication:
    Facilitating communication between the property manager, tenants, vendors, and other stakeholders. 

Essential Skills: 

  • Organization and Time Management:
    Ability to manage multiple tasks, prioritize effectively, and meet deadlines. 

  • Communication Skills:
    Excellent written and verbal communication skills are essential for interacting with various parties. 

  • Computer Proficiency:
    Strong computer skills, including experience with Microsoft Office Suite (Word, Excel, Outlook), property management software, and other relevant applications. 

  • Customer Service Orientation:
    A proactive and positive attitude towards providing excellent customer service. 

  • Problem-Solving Skills:
    The ability to address tenant issues and resolve problems effectively. 

  • Attention to Detail:
    Accuracy and attention to detail are crucial for handling paperwork and data entry. 

Work Environment: 

  • Property Management Administrative Assistants typically work in an office setting within a property management company. The work environment can sometimes involve a moderate to high level of stress due to time constraints, interruptions, and emotional demands.

  • BA Degree in Admin, Secretarial, and Clerical  or other related fields

  • Minimum of 1 years experience 

Career Path: 

  • Entry-level positions in property management often involve administrative support roles. With experience, administrative assistants may advance to roles with more responsibility, such as a Property Manager or Office Manager, or specialize in areas like lease administration or property maintenance.
